Privacy Policy

We built Qentrax to help small businesses, not to profit from your data. This policy explains clearly what we collect, why, and how we protect it.

1. Who We Are

Qentrax is operated by Vault Neuron, a division of Lynen Iron Legacy LLC, based in Ohio, United States. References to "we," "us," or "our" in this policy refer to Vault Neuron / Lynen Iron Legacy LLC.

2. What Information We Collect

3. How We Use Your Information

We use the information we collect to:

Deliver the Qentrax service and generate your process documents
Send your documents to you by email when requested
Manage your subscription and process payments
Communicate with you about your account or changes to the service
Improve the reliability and quality of the service

We do not use your process descriptions or business information for advertising, profiling, or marketing to third parties.

4. AI Processing

When you use Qentrax, your conversation inputs are sent to Anthropic's Claude AI model to generate your document. This means your process descriptions are processed by Anthropic's systems in accordance with their privacy policy.

We recommend you do not enter:

Sensitive personal data about employees or customers (names, SSNs, health information)
Classified or government-restricted information
Trade secrets or proprietary formulas you are not authorized to share
Protected Health Information (PHI) covered by HIPAA

Qentrax is designed for general business process documentation, not sensitive data environments.

5. Who We Share Your Information With

We share your information only with the service providers necessary to operate Qentrax:

Anthropic — processes your conversation inputs to generate AI outputs
Stripe — processes your payment information securely
Resend — delivers emails to you when you request email delivery of your document
Netlify — hosts the Qentrax platform

We do not sell your personal information. We do not share your information with advertisers or data brokers.

6. Data Retention

We retain your information as follows:

Email address and subscription data — retained for as long as your account is active, plus 90 days after cancellation
Conversation inputs — not persistently stored by Qentrax beyond the active session. Individual conversations are not saved to a database.
Payment records — retained by Stripe per their data retention policies and as required by law

7. Cookies and Local Storage

Qentrax uses browser local storage (not cookies) to track your free report usage. This data stays on your device and is not transmitted to our servers. You can clear it at any time by clearing your browser's site data for qentrax.com.

We do not use advertising cookies or third-party tracking pixels.

8. Your Rights

You have the right to:

Access — request a copy of personal information we hold about you
Correction — request we correct inaccurate information
Deletion — request we delete your personal information
Cancellation — cancel your subscription at any time through Stripe's customer portal

To exercise any of these rights, email us at A.Lynen@vaultneuron.com. We will respond within 30 days.

9. Security

We take reasonable technical measures to protect your information, including HTTPS encryption for all data in transit and secure environment variable storage for API keys and credentials. However, no internet transmission is 100% secure. Use Qentrax at your own risk and do not submit information you cannot afford to have exposed.

10. Children's Privacy

Qentrax is not intended for use by anyone under 18 years of age. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify active subscribers by email of material changes at least 14 days before they take effect. The date at the top of this page reflects the most recent update.

12. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete your personal information, and the right to opt out of the sale of your personal information.

We do not sell personal information. To exercise any of your California privacy rights, email us at A.Lynen@vaultneuron.com with "California Privacy Request" in the subject line. We will respond within 45 days.

13. Refund Policy

Qentrax Pro subscriptions are billed monthly at $19.00/month. You may cancel at any time through your Stripe customer portal. Cancellations take effect at the end of your current billing period.

We do not offer partial-month refunds. If you believe you were charged in error, contact us within 30 days of the charge at A.Lynen@vaultneuron.com and we will review your case.
